Vokavi privacy information

1. Controller and scope

2. Learning on your device

Local learning requires no Vokavi or AmoSystems account. The app stores profile names, vocabulary, selected sections, study units, answers, practice and written results, learning goals, timestamps, favourites, settings and unfinished rounds on your device. You can use a nickname.

These records keep learners separate, resume activities and show progress. Normal local learning does not automatically send them to an AmoSystems server. The app has no advertising, app tracking or proprietary analytics or crash-reporting SDK.

3. Optional family sharing

Vokavi uses Apple iCloud and CloudKit for sharing between learning devices. Showing the Family tab alone does not share a profile. Transfer starts only after configuring sharing or explicitly enabling family updates. iCloud and an internet connection are required.

Shared information includes the profile identifier and name, current learning-area name, daily and weekly goals, daily exercise counts for the current week, last practice time, and totals for practised, written-passed and repeat-due words. Counts are separated by translation direction, selected area and total vocabulary. A technical CloudKit account identifier binds sharing and the local cache to the iCloud account.

Recipients are Apple as the iCloud/CloudKit provider and explicitly invited people. Data is stored in private or shared CloudKit areas, not a public vocabulary or profile collection. Individual answers, vocabulary text, audio recordings and unfinished rounds are excluded. Names of custom study areas may nevertheless contain personal information.

Recipients can view summaries after accepting an invitation. The last loaded summary is cached on their device. Updates occur during use or through Refresh; offline data may be older, as its timestamp indicates.

Where processing is our responsibility, optional profile sharing is based on consent under Article 6(1)(a) GDPR. Revoke future sharing on the learning device under Family → End sharing. Local learning remains available. Hiding the Family tab does not stop an existing share.

4. Children and families

Parents or guardians should configure a child’s sharing together with the child and decide who may see progress. When an online service based on consent is offered directly to a child under 16 in Germany, parental consent or authorisation is required. A local child profile does not require cloud sharing.

5. Apple services and transfers

Apple’s privacy and iCloud terms also apply. Apple may process connection, device and account data, including outside the EU or EEA. App data may be included in device or iCloud backups you configure, even without family sharing. Store downloads, purchases and system diagnostics depend on the relevant Apple services and your device settings.

6. Pronunciation and permissions

Included pronunciation recordings were generated with AI in advance and play locally. The Vokavi app does not send vocabulary or progress to OpenAI during learning. Custom words or words without recordings use system text-to-speech; the operating system manages any required voices.

Camera access is requested only to scan a family invitation QR code. Recognition runs on the device without saving or transmitting a camera recording. You can use an invitation link instead or revoke camera access in iOS Settings. Vocabulary learning requires no microphone access and records no spoken answers.

7. Retention, deletion and backups

Local data remains until changed or deleted in the app, or until deleting the app removes its container. Offloading the app preserves its data. Removing a study unit does not automatically remove vocabulary or written results.

The app also retains the previous local save for recovery. Recently removed data may remain there until the next successful save. Exports and device or iCloud backups are not automatically removed when a profile is deleted.

End sharing on the learning device removes the separate cloud summary and share after a successful connection. Disconnecting on a recipient device ends that device’s access. End sharing before deleting a shared profile or the app; uninstalling alone is not a reliable revocation.

Cached recipient summaries may remain until a successful refresh. Signing out or switching accounts clears the local family cache. Vokavi cannot remotely delete screenshots, manual copies or recipient exports.

8. Import, export and support

You choose imported files through system controls and select the destination, service and recipients of exports. A complete backup may contain all local profiles, answers and progress. Files are passed to a destination only after your selection.

Support details are processed to answer your enquiry, under Article 6(1)(b) GDPR for contractual matters or Article 6(1)(f) for our legitimate interest in providing help. Recipients, email service and retention are described at https://amosystems.org/en/privacy. Do not send passwords, invitation links or unnecessary information about children.

9. Your rights

Subject to the legal conditions, you have rights of access, correction, erasure, restriction, portability and objection. Consent may be withdrawn for the future. Learning scores support personal practice; no solely automated decision with legal or similarly significant effects is made.
